How Far in Advance Should You Order a Cake?

"How far in advance do I need to order?" is probably the most common question we get. The real answer depends on the event, the complexity of the cake, and the time of year. Below is how we actually plan our schedule at Cakes By Vjollca, and what that means for your order.

The short answer

• Wedding cake (peak season): 2 to 3 months ahead
• Wedding cake (off-season): 4 to 6 weeks ahead
• Engagement cake (fejesa): 2 to 4 weeks ahead
• Custom birthday cake (elaborate): 2 to 3 weeks ahead
• Simple birthday cake: 1 week ahead
• Graduation cake: 2 to 3 weeks ahead in June/July, 1 week otherwise
• Corporate event cake: 2 weeks ahead minimum
• Last-minute simple cake: 2 to 3 days (if we have capacity)

Why lead time matters

Cake production is not just baking. The time we need includes:

• Design consultation and approval
• Sourcing any specialty ingredients or decorations
• Making sugar flowers or fondant figures (these often take days, not hours)
• Baking and assembly
• Buffer for last-minute adjustments

If a cake has hand-sculpted flowers, those alone can take 2 to 3 days to make and dry. Ordering "a cake with sugar roses" a week before the wedding puts real pressure on quality.

Peak season and why it fills up

Wedding and graduation season in Kosovo is intense. From mid-May through early September, Saturdays are fully booked weeks in advance. Same for mid- June through mid-July when high school and university graduations peak.

We deliberately limit the number of weddings we take per weekend. This is not a marketing line, it is a quality choice: one bakery physically cannot hand- finish five large wedding cakes on the same Saturday morning without something suffering. If you want a Saturday in June, aim to book 3 months out.

When last-minute works

Not every cake needs weeks of planning. Simple orders we can often fit in on short notice:

• A one-tier birthday cake with a written name and simple decoration
• A small anniversary cake
• A corporate cake with a logo when we already have the logo file
• A repeat order of a cake we have made for you before

For these, message us on WhatsApp or use the contact page. If we can fit the order in, we will say yes. If we cannot, we will say no honestly, because a rushed cake is a cake we cannot stand behind.

What if I just missed the window?

It happens. Here is what you can do:

• Simplify the design: a two-tier smooth buttercream cake is faster to produce than a sculpted fondant cake with sugar flowers
• Be flexible on flavor: using our standard flavors avoids the time needed to source special ingredients
• Message directly: WhatsApp gets the fastest answer about capacity. Phone calls work for urgent cases
• Check alternative dates: if the original date is full, a day earlier or later may be open

Booking process

Typical timeline for a wedding cake booked 3 months out:

• Day 1: You send date, guest count, references
• Day 2 to 3: We reply with a proposal, initial quote, and consultation date
• Week 1 to 2: Consultation, tasting, deposit, date locked
• Week 4 to 6: Final design sign-off
• Wedding week: Production and final confirmation
• Wedding day: Pickup coordinated with you or your planner

Deposits and cancellation

For wedding and large event cakes we take a deposit to lock the date. Dates are held firm only after the deposit. Cancellation terms are explained in your proposal but the short version is: the closer to the date, the more of the deposit covers production that cannot be recovered.

For large weddings and major events, dates are confirmed with a deposit. Small orders can sometimes be held informally for a few days while you decide, but peak Saturday dates fill too quickly to hold without commitment.
